
HCAI System Release 3.34 will go live on November 3, 2025. This bulletin provides an overview of the enhancements included in the release.
Here’s what you need to know about Release 3.34:
1. Enhancements to the OCF-18 and its Explanation of Benefits
HCAI is enhancing the OCF-18 and its Explanation of Benefits (EOB) by redeveloping them in a new framework as was done with other forms processed in HCAI. Form processes will not change, but layout improvements will provide a more efficient user experience, and improve things like text alignment and spacing within the HCAI application.
2. Browser Compatibility Updates
HCAI continues to enhance its user experience and security. Using an up-to-date browser is vital to maintain an uninterrupted connection to HCAI.
As of Release 3.34, we recommend using Microsoft Edge, Chrome, or Firefox on Windows 11, or Safari 17 on MacOS Sonoma (Version 14.0)
Windows 10 is no longer supported/recommended for accessing the HCAI web application as of Release 3.34.
System Outage
A system unavailability window is scheduled for September:
The HCAI system will be unavailable from 5:00 p.m. (ET) on Friday, Sept. 19, 2025, and is expected to resume active status at 8:00 a.m. (ET) on Monday, Sept. 22, 2025.
In preparation for Release 3.34, the following system unavailability window is planned:
The HCAI system will be unavailable from 5:00 p.m. (ET) on Friday, October 31, 2025, and is expected to resume active status at 8:00 a.m. (ET) on Monday, November 3, 2025.
Facilities must have their transactions successfully processed by 4:59 p.m. (ET) the Friday of the scheduled outages.
Other Important Reminders
As part of the ongoing maturity of the HCAI system, data deletion functionality has now been implemented.
All documents will become candidates for deletion from the HCAI system seven years after the associated claim has been closed (i.e. deactivated in HCAI) by the insurer.
The actual deletion of data began in July 2025, starting with very old unusable draft documents that can no longer be submitted.
Other documents will be eligible for deletion beginning Fall 2025.
All completed OCFs must be kept on file at the facility as per FSRA’s guidelines. Visit the Submitting and Storing Forms page on HCAIinfo for more information.
The Attendant Care Services Invoice (ACSI) was introduced into HCAI on a pilot basis in System Release 3.33, and healthcare facilities are continuing to take advantage of the new form.
HCAI encourages users to make use of the ACSI during the pilot to streamline their submission processes.
If you are unable to use your Practice Management System to submit the ACSI, please contact your vendor for updates on when it will be implemented. In the interim, users will still be able to use the HCAI web application to submit the ACSI.
As a reminder, if you submit the ACSI electronically via HCAI, you should not send a paper copy to the insurer.
