As summer winds down, HCAI’s next system release is coming around the bend. This bulletin is a reminder of the enhancements you can look forward to in HCAI System Release 3.36, which goes live on November 30, 2026.
Here’s what you need to know about Release 3.36:
1. Enhancements to the OCF Searches and HCAI Web Reports page
HCAI is enhancing the OCF search page, as well as the Reports tab on the HCAI web application. Minor improvements to layout and function will offer a more efficient and consistent user experience.
The majority of changes are cosmetic in nature, including text alignment and formatting.
Bookmarked links to the login page should be updated, as they may no longer work post-release.
2. New two-factor authentication method – authenticator application
HCAI uses two-factor authentication at login to keep your user account secure by inputting a verification code that is delivered to your email address or phone. In Release 3.36, we’re adding the option to use an Authenticator Application on your cell phone to receive your verification code.
Users are encouraged to set up at least two verification code delivery methods from the available options so that they have multiple methods to verify their login, in case one channel is temporarily unavailable.
You’ll also have the ability to select your preferred verification code delivery method (email, text, or authenticator app) directly from the My Profile tab. Next time you log in, the code will be delivered to your preferred method. Your preference can always be changed at login if needed.
After the release, you will be able to visit the My Profile tab in HCAI to review your information and update your two-factor authentication verification methods at any time.
3. Inclusion of ACSI data for reports generated in HCAI
To make it easier for facilities to track their ACSI submissions, the Facility Submitted Invoices, Submitted Forms by Insurer, and Monthly Financial Statement reports will now include relevant ACSI data. Users with the Provider Report Viewer role can generate these reports to include the ACSI by visiting the Manage tab > Reports subtab.
4. New HCAI system status indicator
HCAI has developed a new way to inform users of urgent information and status updates. A new alert will be displayed on www.HCAI.ca that indicates when HCAI’s system status has changed, and will link to HCAIinfo where you will find more details. The indicator will only be visible when there is an important update for users.
Scheduled System Unavailability
To accommodate the implementation of Release 3.36, the following system unavailability window is scheduled:
Friday, November 27 @ 5:00 p.m. to Monday, November 30 @ 8:00 a.m. (ET).
During this time, HCAI System Status at www.hcaiinfo.ca will indicate red, with the message "Scheduled system release implementation underway". Visitors to www.hcai.ca will be unable to sign in and will be presented with a generic, web browser-generated message indicating that the webpage is unavailable.
Other important reminders
Ongoing data deletion activities
As was previously communicated, deletion of eligible documents has continued in 2026. Documents will become candidates for deletion from the HCAI transaction system seven years after their associated claim-claimant has been deactivated by the insurer.
As a reminder, all completed OCFs must be kept on file at the facility as per FSRA’s guidelines.
Deactivate inactive user accounts
It’s important that HCAI users who leave your Facility be deactivated as soon as possible. Deactivating a user prevents unauthorized access to the HCAI system and helps keep your data secure.
It is quick and easy to deactivate a user. HCAIinfo’s Deactivate User section has step-by-step instructions explaining how to do so.
Attendant Care Services Invoice successful pilot completion
The Financial Services Regulatory Authority of Ontario (FSRA) has announced the successful completion of the pilot phase for the Attendant Care Services Invoice (ACSI). For additional details, please refer to our recent bulletin, FSRA Announces Successful Completion of HCAI’s ACSI Pilot.
To support the ACSI, the Personal Support Worker (PSW) provider type was added to HCAI to enable health care facilities to add this profession to their HCAI provider roster.
With the successful completion of the pilot, the ACSI will continue to be available in HCAI. Facilities are encouraged to use the form in HCAI and benefit from the electronic invoicing process.
